  • To establish a standard validity period for your quotations, specify the desired expiration duration, such as 30 days, or any time frame that aligns with your business requirements.
  •  After making your selection, save the changes. You can then create a quotation to test and observe the validity feature in action.


2.Applying Default Quotation Validity on Quotations

  • To create a new quotation, navigate to the “Orders” menu and select the “Quotations” option. This will open a dashboard displaying all existing quotations in your sales database.
  • Next, click on the “New” button to start creating a new quotation. In the form that appears, input the necessary details, such as the Customer, Invoice Address, Delivery Address, Quotation Template, and Price List. The expiration date for the quotation will automatically be calculated based on the default quotation validity set in the configuration.
  • After filling in the essential information, proceed to complete the various sections of the form. The “Order Lines” tab allows you to add products, sections, and notes to the quotation. If there are optional products, they can be added through the “Optional Products” tab. Use the “Other Info” tab to provide additional sales, invoicing, payment, delivery, and tracking details. The “Customer Signature” tab can be configured if the customer’s signature is required. Finally, the “Notes” tab is available for adding any remarks, conditions, or descriptions related to the quotation. Once all required fields are completed, click the “Confirm” button to finalize the quotation.



3. Configuring Quotation Validity in Quotation Templates
  • In Odoo 18, you can set an expiration date for any quotation template, which will automatically apply to all quotations created using that template. To do this, go to the “Quotation Templates” section under the “Configuration” menu.
  • Here, you’ll see a list of existing templates. Click on a specific template to open its configuration, or click “New” to create a new template.
  • In the template form, fill in the necessary details, including the Quotation Template Name. Set the expiration period in the “Quotation Validity” field. You can also enable features like Online Signature and Online Payment for automatic order confirmation and online payments.
  • Additionally, you can select a Confirmation Mail template for communication, choose a Company, and pick an Invoice Journal. In the “Lines” tab, you can add products, and in the “Optional Products” tab, you can include optional items. Use the “Terms & Conditions” tab to specify any conditions for the template. You can also personalize the quotation’s appearance using the PDF Quote Builder and connect it with a Quote Calculator to work directly with spreadsheets.
  • Finally, click “Save” to store all the configuration settings for the template.


4. Creating a New Quotation Using a Quotation Template
  • When you choose a preconfigured quotation template for a new sales quotation or order, the details from that template are automatically added to the new quotation. For example, if you use a template named "Monthly" with a 28-day validity, the new quotation will have the same expiration period.
  • To get started, go to the “Orders” menu and select “Sales Order”. Then, click the “New” button to open the sales order form.
  • In the form, select the desired quotation template from the “Quotation Template” field. This will automatically fill in the form with the template's details and set the expiration date based on the template’s validity period. After completing the order, click “Confirm” to save and confirm the quotation. The validity will be shown in the “Expiration” field.
